Better signature management

easy way to change signature and mailsender

    I wouldn't consider this shipped...for a new memo you should be able to select from several possible signatures. You can select a file now but that is not "easy".

    The companies doing this are focusing on the Cloud Space.  Now might be the time to leverage/license a native notes/domino tool such as Crossware and include it with Domino.  The use of Domino policies for granular signature management is not possible, and there are discrepancies with full client policies vs. those using a web mail file.  In particular things like global disclaimers (separate from signatures) can only be managed per server on the iNotes server which causes challenges if hosting multiple O's (companies) or languages.  If a .dll is needed on the router to make this seamless, then write it or license it.   While out of the box may be good for a small business (if they can figure out how to configure it), anything 'typically' needed these days of a larger organization is not easily available and it's frustrating trying to make what is included do the right thing.

    As there are at least two commercially available solutions to this already I'm not going to vote for it. (Crossware and BCC MailProtect)

    But this
    IMHO we need a way to specify the outgoing address without switching locations.
    Also by default, the client should use the email address of the received mail.
    And this should match with the signature functionality you requested!

    I would vote for this as an idea on its own.

    Mail sender functionality:

    Many Notes users receive email to multiple addresses to one mailfile. This is normally done through a list of addresses in the person document in the Domino directory (see attached image).
    But when a email is sent out or responded to, the sender will always be the address in the Internet address field in the right column. There is a way around it, to create a separate location document for each address, with the email address you want to use in the Internet email address field, then have the user switch between the different locations (see attachment).. This is clunky and not a desirable way to handle it.

    Requested functionality:

    1) Allow for multiple signatures, not limited to a specific (fixed) number.

    2) Make it possible to assign individual signatures to the following four types of outgoing email messages:

    * New external email

    * Reply to external email

    * New internal email

    * Reply to internal email

    3) Add a menu item or action button where the user can select any of the signatures to be used for the current email. That way the user can have special signatures for certain types of emails, perhaps for a particular project.

    4) Make it possible to assign a signature to all emails going to and coming from a particular email address, internet domain or members of a group in either the local address book or Domino directory.

We have some clients/users they need to send mails with different mail addresses because they have some roles in their environment. One time they have to send as user@company1.com sometimes send as user@company2.com and this without changing locat...
